Timesheet: day view

Projectworks offers two modes for doing timesheets, a week view and a day view.

The day view of your timesheet lets you keep track of your time throughout the day - tracking your time as you go. Entering time as you complete a task means your timesheet is recorded accurately and is up to date. 

The day view is best for people who want to update their timesheet as they work or people who work on many tasks each day.

We believe that best practice is to complete your timesheet everyday. It is the best way to ensure you record your time accurately and it helps Project Managers keep track of progress and budgets.

To use the day view mode, go to your timesheet and click the day view button. If you'd rather enter a weeks worth of time in one go, the week view might be better for you. You can switch between day and week view whenever you want, so you can find which one suits your working style best.


Overview of day view timesheet

The day view will work best for people who like to enter time as they work. Each day your timesheet will either start fresh, or with the tasks that you have "pinned" on your timesheet.

Tasks which are pinned are displayed at the top, with the other tasks displayed in either the order they were added, or grouped within projects. Toggle the "organise by project" on or off to change the order. Refer to the timesheet tools & tips article for details on the various controls to help you with your timesheet.

The total number of hours entered for the week are always shown at the bottom of your timesheet so you can keep track of your total worked throughout the week.


How to enter time

Entering time in easy - its as simple as adding the amount of time you have worked against the relevant task. 

Add time to task already on your timesheet

For tasks that are already on your timesheet you simply need to enter the time you have spent against the task and enter a comment. If you work on a task more than once during a day, in day mode you have the option of increasing the total time worked in the existing entry, or adding a separate timesheet entry for the task.

TIP: In day view you can add the same task multiple times each day.

Add a new timesheet entry 

There are two ways to find the tasks you need to add to your timeheet.

Using the standard search

  1. To add a new entry to your timesheet click the "add timesheet entry" button and search for the project you are working on. 
    1. you can type the name to filter your options, or click the arrow to see a list of all active projects.
    2. the search will also check client names, so if you type the name of a client it will return all active projects for that client
    3. Projects you have entered time against in the previous 5 weeks will be listed first under the Suggested projects heading
  2. Once you select the name of your project you will be shown all the tasks that are available to you.
  3. Select the task (or multiple tasks) you need and click save to add it to your timesheet
    1. enter the time you have worked, either either in minutes (eg 90), hours and minutes (eg 1:30) or hours as decimals (eg (1.5). All of these will be saved and shown on your timesheet as 1:30.
    2. enter a brief comment
  4. Your entry will be saved automatically when you click out of the fields.

Tip: You can search for a combination of client name and project name - eg "ACME website" will return any projects for the client "Acme", with "website" in the project name.

Using the advanced search

The advanced search allows you to search across client, project, module and task names. Clicking the task from the list will add it directly to your timesheet. So if you know the name of the task you need to use this will be the fastest way to get it onto your timesheet.

  1. To add a new entry to your timesheet click the "add timesheet entry" button enter a forward slash ( / ) to enter advanced search mode.
    1. Enter search term (can include client, project, module, or tasks
    2. A maximum of 10 tasks will be returned in the results. Tasks you have used in the previous 5 weeks (or have just been made available) will be listed first. Use multiple words to narrow your search.
  2. Click the required task and it will be added to your timesheet
    1. enter the time you have worked, either either in minutes (eg 90), hours and minutes (eg 1:30) or hours as decimals (eg (1.5). All of these will be saved and shown on your timesheet as 1:30.
    2. enter a brief comment
  3. Your entry will be saved automatically when you click out of the fields.

Tip: The advanced search works as a key word search across client, project. module and task names. You can use a combination of words to find your task quicker. eg "development" will likely return many search results, while "development Acme" will return a more refined list..

TIP: If you work on support tickets, or tasks which are numbered using the advanced search will make it easy to add the work item. Just enter / and the ticket number to add it to your timesheet.
